 Conseil communautaire du Grand-Havre

Approved by the Board of Directors of the Conseil communautaire du Grand-Havre on January 17 2002; effective January 18 2002


 

Rules and regulations

 

Ø      Renter is responsible for all damages to facilities or equipment occurring during use of facilities.

 

Ø      Renters are expected to leave the facilities in good and clean condition.

 

Ø      Renters must confine their activities to the area designated and the associated corridors, entrances and washrooms. Extra cleaning necessary will be billed to the renters.

 

Ø      Renting of Gym does not include equipment other than nets (Basketball, Volleyball and Badminton). Balls, shuttlecocks, rackets or score clock will not be provided.

 

Ø      If school is closed to students and staff, due to inclement weather, all activities held in the school shall be assumed cancelled.

 

Ø      No street shoes, sneakers or boots are permitted on gym floor.  Only non-marking dry sneakers are permitted.

 

Ø      No food or drink is permitted in the gym at any time except for water bottles.

 

 

Ø      In order to control traffic on the gym floor, only one door will be unlocked for gym accessibility.

 

Ø      Basketball net heights are determined by the security committee.  Height is set at 10 feet and is non-negotiable.

 

Ø      No smoking or alcohol can be consumed on or within school property however written permission may be granted for alcohol at special events. (permit mandatory)

 

Ø      Illegal activities on the school premises would lead to legal procedures.

 

Ø      Adult supervision is required at all times.

 

Ø      Door monitors or caretakers of the Conseil communautaire will assure that all above rules and regulations are respected at all times.

 

Failure to adhere to the above rules will lead to immediate ejection from the facility and loss of future renting privileges

  

 

Responsibilities  of the Conseil communautaire du Grand-Havre employees and representatives

 

 

To ensure security of facility, equipment and other facility users, our primary responsibility is to ensure renters conduct themselves as per rules listed above. For the same reason, only authorized people are permitted into the facility during an event.

 

 

§         Before the arrival of renter, each rented area must be inspected.  This includes: cleanliness, damages, doors and locks, entranceways, corridors and washrooms.

 

§         A bulletin board should be prepared displaying a list of the day’s activities and placed at the main entrance. This will direct the public to the proper locations.

 

§         An adult supervisor must be on location prior to  any participant entry.

 

§         Periodic checks of all activities must be done to ensure all above rules and regulations are followed at all times.

 

§         Prior to departure of the adult supervisor, a final inspection must be done to insure no damage was done during the event.

  

§         Prior to leaving, employee must ensure cleanliness of  rented areas (floors, tables, trash cans, etc) and that any furniture must be left as was before the arrival of renter.

 

§         Employee must ensure compliance to the rental calendar. This means that only the proper areas are unlocked and used and that renters comply to agreed times of arrival and departure. If the schedule is not respected, leave a note to the rental agent to ensure billing adjustments are made to rental fees.

 

§         Employee is responsible for relaying any information to the management of the Conseil communautaire ex. damages, dangerous situations, conflicts…

 

§         If rules are not followed, discretely speak to the adult supervisor and notify them of rule infraction. This person must rectify the situation.  If behaviour continues, a report must be given to the manager.  If the employee believes that the safety of the establishment or its users is at risk, he or she may find it necessary to ask the group to leave or to call for police assistance.
